Privacy notice
This notice explains what personal information HDC Group collects when you get in touch, why we need it, and what your rights are. We keep it simple: we only use your details to deal with your enquiry and any work we do for you.
Who we are
HDC Group is a sole trader business providing home improvement and soft landscaping services across Staffordshire. We are the “controller” of your personal information, which means we decide how it is used and are responsible for looking after it.

What we collect
When you ask for a quote or contact us by phone, email, Facebook or our website form, we may collect:
- your name
- your phone number and email address
- your address, town or postcode, so we know where the job is
- details about the job, and any photos you choose to send us
If we go ahead with work for you, we will also keep records of the quote, the work carried out and payments.
We don't ask for sensitive information, and we don't collect information about you from anyone else.
How we use it, and why we're allowed to
- To reply to your enquiry and give you a quote. This is a step you have asked us to take before entering into a contract with you.
- To arrange and carry out the work, and get paid. This is necessary to perform our contract with you.
- To keep financial records. We have a legal obligation to keep records for tax purposes.
- To deal with any follow-up, complaints or claims about our work. This is in our legitimate interests as a business.
We will never sell your details, and we won't send you marketing messages. If we ever want to (for example, a reminder about seasonal garden work), we'll only do so with your permission.
Who we share it with
We only share your information where we need to, for example with:
- the email, phone and messaging services we use to talk to you
- the service that delivers messages from our website form to our inbox
- our website host, which processes basic technical information when you visit
- an accountant, or HMRC, for tax and record keeping
Some of these providers may store data outside the UK. Where they do, they are required to protect it to UK standards. If you contact us through Facebook, Meta's own privacy policy also applies.
How long we keep it
- If you ask for a quote but don't go ahead, we delete your details within 12 months.
- If we do work for you, we keep job and payment records for 6 years after the job, as required for tax and in case of any claims.
Cookies
Our website doesn't use advertising or tracking cookies. If that changes, we'll update this notice and ask for your consent where needed.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that's wrong
- ask us to delete your information (unless we need to keep it, for example for tax records)
- object to, or ask us to restrict, how we use it
To use any of these rights, just get in touch using the details above. We'll respond within one month, and there's no charge.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
